New Filter for Attachments (Plus a Little Design Change)

We just added a new filter feature, that allows users to filter their lead list (or create a view) that will retrieve any Leads which have an attachment. As you know, you can attach any file to a lead in Open Leads (for example, a PDF document of a contract or sales agreement, a picture of the person with their new car or boat, etc.).

After some feedback from you, our dedicated users, we also tweaked the design a little bit, removing the drop shadow on dialogue boxes. We love to hear from our users, and many of our best new features come directly from your suggestions.

Lead Following Feature

We have relaunched our Lead Tracking feature as Lead Following.

The new name reflects a new focus on connecting your company with your prospects and clients. When Lead Following is enabled for a form, the person submitting the lead can be notified by email auto responder that their info has been received and assigned to a user in your account. The notification contains a link to a page they can bookmark and go back to at any time to see information on their company representative, and follow along with any public comments the assigned user makes concerning their inquiry.

There are many scenarios in which this feature could be used such as work orders or service tickets, or it can be used to simply engage the prospect.

We’ve replaced the “Profile” link

We have replaced the “Profile” link at the top of your Open Leads account with a link called “Settings,” and also moved the Help link to the left to make it more prominent.

The Profile link used to take you directly to “Personal Proflle” under the Settings Tab, and the new link takes you to the main Settings tab menu. To edit your profile info, just click the “Personal Profile” link and the same options are available.

We made this change for a couple of reasons, mostly because it makes more sense from a navigation standpoint, but also to pave the way for some new features under the Settings tab that will give you much more flexibility in managing your account. We will be making some announcements in the near future regarding these additional updates.

Our most recent update to Open Leads is Workflow Categorization and Sorting

OpenLeads now gives Administrators the ability to categorize and sort their Workflows. This process is extremely useful and important to setting up both basic and more complex Workflows or combinations of Workflows.

Often times users have primary Workflows that manage simple tasks and are applied manually by sales staff as the enter and begin working their leads. These can be labeled and placed at the top of the Workflow lists to make it easy for sales reps to find them when applying them to a lead.

Other times, users have configured more complex Workflow processes that utilize multiple Workflows to carry a prospect through the sales process – usually this means that one or more Workfliows are triggered automatically by completing a Task in the system. By labeling and sorting the Workflows, it is much simpler for the Account Administrator to find, maintain, and update Workflows as needed.

Message Categories and Sorting

The latest feature added to Open Leads is Email Message Categorization and Sorting

Administrative Users can now create message “Categories” in which to group canned email messages that are stored in the Message Library.

This is especially useful in keeping different messages, with different purposes segmented. For example, keepoing Sales Messages that are used by your sales team separate from Autoresponders. Or if your company uses multiple Autoresponders for different contact forms, you can create separate categories for each, making it easy to manage their deployment.

Latest updates

We are pleased announce the latest Email features added to Open Leads. These features are designed to both expand Open Leads’ functionality, and to make it easier to use.

Merge Tokens in Email Subject lines

Users can now include Merge Tokens such as [First] to insert the recipient’s first name in the subject line of messages sent from Open Leads. This increases the personalization of mass emails and increases your open rates.

Updated Unicode Support

Sometimes, when you copy and paste from a desktop application (like Microsoft Word) into the email message body, you can wind up with non-standard characters that don’t display correctly.

Now, Open Leads automatically converts those characters into their unicode equivalents, ensuring that all your emails display correctly for everybody.

Interface Improvements

We’ve also added additional “Print This Lead” and “Show History” links in the Print View popup window. Now when users print out individual leads, they no longer have to scroll to enable showing the Lead history, or to print the page.

Using Open Leads with IE 9

The recent release of IE 9 saw some changes in the way Javascript is handled. Because of this, you may have noticed some functions of Open Leads quit working in the manner you would expect (such as the popup calendar when you schedule a task). We will be updating our code in the next couple of weeks, but in the mean time, if you configure your IE to work in “Compatibility Mode,” everything will work properly again.

To switch IE 9 to Compatibility Mode follow the instructions here: http://support.microsoft.com/kb/956197#2 – or when you navigate to Open Leads, you may see an icon in your URL bar that looks like a torn sheet of paper. Click on this to toggle Compatibility mode on.

Change is never easy – and the Tasks Tab proves it

In adding more functionality to the Task system within Open Leads, it was necessary to make some changes to the way that Users were assigned to tasks. This is most apparent when a Workflow is used to assign Tasks, but not a user. The result is that any tasks attached to leads that are created by that Workflow will be assigned to “No User” (since no user was selected by the Workflow). In these cases, when users are assigned after the Lead is in the Lead List, users must open their Lead Detail to see tasks. It is a good idea to have them go ahead and edit the Tasks for new Leads assigned in this manner, and assign the Tasks to themselves. Tasks will then appear on the users Task Tab.

You will also notice a new selection menu on Tasks that are set up to trigger another Workflow upon completion, or Tasks that trigger Workflow Branching. This selection menu gives you the option of choosing the user to be assigned to the next round of tasks – either a specific user or the “User Assigned by Workflow.” This is a much stronger model than the previous options, which made it possible to assign a single Task to multiple Users assigned to the same Lead. This lead to some confusion and a lot of times the task not getting completed properly.

An additional function of these changes – all tasks now have a single user. Only one person should be responsible for any one task, and this ensures enforcement of this rule. This greatly increases the practical application of user Task Lists in the Task Tab section. Now it functions much stronger as a To-Do list.

Another Tasks Update

In the Task editor where tasks are created and assigned by a Workflow, the user selection dropdown has changed a bit. “Default User” has been changed to “User assigned by Workflow” – we think this change will make it clearer to users what is happening with the user assignment.

Minor Tweak to Tasks Tab

We made a slight adjustment to the Tasks Tab yesterday. It now defaults to “active” Tasks in all instances. Users must check box to display completed Tasks on the list.
